MeadowOne ERP is operated by Meadownest ("we", "us" or "our"). This policy explains how the MeadowOne ERP desktop application handles business information and Google user data, and how to contact us about privacy. Our website is meadownest.in. This product policy applies to MeadowOne ERP and its optional Google Drive backup; it does not cover other products listed on the company website.
Google Drive backup is optional. Your business records are stored on your computer. Connecting a Google account enables the app to send complete database backups to that account's Google Drive. Connecting a supplier's support account also gives that account's owner access to those backups.
1. Business information stored by the app
MeadowOne ERP stores the information your business enters, including company and branch details; staff usernames, roles and password hashes; customer and supplier names and contact details; vehicle and workshop records; inventory, purchases, invoices, payments and accounting records; and audit history. This information is used to provide the app's billing, stock, workshop, reporting, access-control and backup features.
The working database and local backups are kept on the computer running the app. Google Drive backup sends a copy of the entire database, rather than selected records. A copy can therefore include personal information about your customers and staff, password hashes and audit entries. Your business decides which records to enter and which accounts may receive its backups.
2. Google user data and permissions
When an Administrator chooses to connect a Google account, Google asks its account holder to authorize access. The app requests these permissions:
- Google account identity and email (
openidandemail): the app receives a Google sign-in token and uses the email address to identify and display the connected backup account and prevent the same account being connected twice. - App-specific Google Drive files (
https://www.googleapis.com/auth/drive.file): the app creates and finds its backup folders, uploads backup files, reads their identifiers and filenames to show backup status, and deletes older backups it created. This permission does not grant general access to every file in your Drive; the current backup feature works with files and folders created by MeadowOne ERP. - Offline authorization: Google supplies access and refresh tokens so the app can upload later backups without asking you to sign in each time.
Google sign-in happens in your browser. MeadowOne ERP does not receive or store your Google password, and this integration does not request access to Gmail, Google Contacts or Google Calendar.
3. How Google data is used
The app uses Google account information and tokens only to connect the selected account, display its status, authorize backup operations and disconnect it. It uses Drive file information to manage the backups and show which copies have been uploaded.
After an account is connected, the app uploads the newest available daily or manual database backup. While the app is running, it checks for new backups at startup and approximately hourly, and uploads can also be triggered by backup actions. Copies made specifically before an upgrade, restore or database-console change are kept locally and are not uploaded by this feature.
Backups are placed in MeadowOne ERP backups, inside a subfolder named for your business. Your company name and backup filenames are therefore also sent to Google. The backup integration does not route your Google tokens or backup files through Meadownest's licensing server.
4. Sharing and access to backups
- Google: Google processes sign-in requests and stores backups in the Drive accounts you connect, under Google's own terms and privacy policy. The owners of those accounts and people they authorize through Drive may access the stored files.
- Your business account: connecting "Your Google Drive" sends the backups to the account selected during sign-in.
- Optional supplier support account: connecting "Support copy (MeadowOne)" sends another complete backup to the supplier's selected Google account for recovery support. Its owner can access all information in that copy. This connection is optional and requires your business's agreement to share the data. Do not connect an account you do not trust.
- Support you request: if you choose to send us a backup, log or other information for help, we use it to address that request. We require your permission before support staff examine the contents of a backup for recovery or troubleshooting, unless access is required by law or necessary to investigate a security issue.
We do not sell Google user data or use it for advertising, data brokerage, credit scoring or lending. We do not use Google user data to train artificial intelligence or machine-learning models. Any disclosure required by applicable law is limited to the information required for that purpose.
5. Storage and security
The connected email address, backup filenames, upload status and an encrypted refresh token are saved locally beside the app's database. The refresh token is protected using the operating system's secure storage through Electron safeStorage. Google connection tokens are stored separately from the ERP database and are not included in database backups.
Requests to Google use HTTPS. The app applies local sign-in, role and branch permissions, and only an Administrator can connect or disconnect a backup account. Local diagnostic logs and audit entries can contain the connected email address, backup filenames and connection or upload events.
The ERP database and database backup files are not encrypted by MeadowOne ERP itself. Protect the computer, local backup media and connected Google accounts, and restrict access to people authorized by your business. The app does not provide an additional layer of encryption for backup file contents before uploading them to Drive.
6. Retention and deletion
- Google connection: the saved connection information and encrypted refresh token remain on the computer until the account is disconnected or the app's data is removed. Disconnecting removes the saved connection and attempts to revoke its Google authorization. Historical email addresses can remain in local logs and audit records, including those already copied into backups.
- Drive backups: during successful uploads, the app keeps up to 30 of its most recent backups in each connected account's business folder and deletes older copies. Cleanup depends on the app running and having working access to Drive; there is no scheduled deletion after the app is stopped or disconnected.
- Local backups: automatic daily-backup cleanup keeps the most recent 14 daily copies. Manual, safety and exported copies remain until you remove them. Uninstalling the app does not automatically remove the business database or its backups.
- Support copies: disconnecting a support account does not erase files already stored there. Ask the account owner or contact us to request deletion of copies under our control. Copies held by another supplier must be removed by that supplier.
To stop future uploads, open Backup → Google Drive → Disconnect for each connected account. You can also withdraw the app's authorization in your Google Account connections. Revoking authorization prevents future use once Google applies the revocation; use Disconnect to remove the connection saved on this computer as well.
To remove stored cloud backups, delete the files or folder in each connected Google Drive account and empty its trash where applicable. Disconnect first so the app does not upload another copy. Remove local database, log, audit and backup files separately when your business no longer needs them. Records already contained in an older backup remain there until that backup is deleted.
7. Licensing and support information
Separately from Google Drive backup, license activation sends the licensing service your license key, an installation identifier, computer name and app version. License checks and deactivation use the issued license token. The service stores customer and contact details supplied for licensing, activation history and check timestamps to manage licenses and computer seats. Network addresses are processed for connection handling and abuse prevention. This process does not send the ERP database or Google connection tokens to the licensing service.
Deactivating a computer releases its license seat; it does not automatically erase license or activation history. Licensing records remain until removed by the service administrator. If you contact us by email, we receive the email address, message and attachments you choose to send and use them to answer your request. Contact us to request removal of information under our control; we may retain information needed to meet legal obligations or resolve an ongoing licensing or support matter.
8. Your choices and privacy requests
You can use local ERP features and local backups without connecting a Google account. Your business controls its local records, exports and copies and is responsible for using them appropriately. To ask about access, correction or deletion of personal information in business records, contact the business that entered those records. For information held by Meadownest, Google integration questions or help removing a support copy under our control, email meadownestfarms@gmail.com. Identify the relevant business or connected account so we can locate the information. Never send your Google password or sign-in tokens.
9. Google API Services Limited Use
MeadowOne ERP's use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. Google data is used only for the backup and account-connection features described in this policy.
10. Changes and contact
We will update this page when our data practices change and revise the date above. Before using Google user data for a new purpose or requesting additional permissions, we will explain the change in the app and request any necessary consent.
